Staying connected with your work colleagues back in Australia when you’re travelling for business has never been easier thanks to today’s technology. Far from sending a fax and calling landlines, you can now get in contact with someone simply through the touch of a button. Here are some of our tips to keep connected when you’re travelling outside the office.
1. Ensure that you can use your mobile when you land
Blowing the budget on international roaming fees is probably not the best way to keep the boss happy! Instead, it could be a good idea to sign up for a plan with international roaming before you leave for a trip. Just be sure to read the inclusions in your plan to ensure you’re not hit with bill shock when you get home.

2. Set up a VPN before you go
A virtual private network (VPN) allows you to connect your device to a public network via an encrypted connection. It makes sure your data is transmitted safely and should therefore be used when accessing sensitive work documents out of office. A VPN is particularly important when you are jumping between different Wi-Fi networks.
3. Sort out your internet
If you don’t fancy spending hours using up a local cafe’s free Wi-Fi while you’re travelling, then it could be worth investing in an internet dongle or pocket Wi-Fi. This is ideal if you’re planning to use multiple devices, such as your laptop or tablet and want to have internet at the ready.

4. Set up a shared calendar with your team
Instead of constantly updating your colleagues on your whereabouts, why not share your itinerary with them via a shared calendar? Microsoft Outlook, for example, enables you to create a calendar group, letting you look at each other’s itineraries in the one place. Before you leave for your trip, simply put your travel schedule in the shared calendar so that your team knows how long you’ll be out of the office. You can also add Skype or Online Meeting details to your calendar, so you can dial in if needed while you’re away.
5. Get a head start on managing expenses
For regular business travellers, keeping track of your travel expenses via a stash of receipts can quickly become tiresome. There are lots of handy apps that can help, such as the free SAP Concur app – which allows you to submit travel expenses on the go. With SAP Concur, you’re able to capture photos of your receipts, import data from your credit cards and log car mileage. Submit spending reports in just a few minutes and you just might cut down your waiting period for reimbursement.
